Truck Dispatching Best Practices in US

In this article, we will discuss the best practices all truck dispatchers should adopt in their daily truck dispatch processes. A good dispatcher can make a huge difference on a carrier’s bottom line. He or she needs to have the ability to plan ahead of time, make the right selection of loads at the right price and be able to communicate effectively with all stakeholders, including drivers, customers and other stakeholders. Detailed below are certain practices all truck dispatchers should consider adopting in their daily processes.

Application of technology in their daily processes

Truck Dispatchers these days, should fully utilize all available tool made available by loadboards or brokers to evaluate and analyze changes in freight demand and pricing. Truck dispatcher should then make decision on routes and loads based on this analysis and choose lanes or loads, that can result in the best economic return for their carrier or driver.

Optimize Routes and scheduled loads

Truck Dispatchers must be able to maximize the efficiency of the driver’s available driving hours by being attentive to the pick up and schedule delivery time of the loads booked. If there is extensive waiting hours on a given load, Truck Dispatcher should negotiate a higher freight rate to cover the waiting time and not decide on the load solely based on a rate per mile basis. In addition, Truck Dispatchers should also be flexible to book different type of loads, i.e. long haul or short haul and apply the right combination in order to the keep their driver busy at all times.

Develop good communication skill.

This is one of the most important aspect of truck dispatching process. Truck Dispatcher must have the ability to communicate clearly, proactively, and respectfully. Dispatchers are responsible for ensuring their drivers have all the information they need to pick up and deliver the load. They also need to be honest with the brokers and stay in close touch with both drivers and brokers at all times to ensure any issues on a given load is highlighted and addressed in a timely manner.

Build good relationship with drivers and brokers.

Truck dispatchers need to have a good relationship with the drivers and brokers they work with. They need to be available and response in a polite and courteous manner even during stressful times. Truck Dispatcher must have the ability to stay calm and offer confidence and assurance to both drivers and customer when resolving issues. This can help build trust and respect from the drivers and customers they work with.

Keep up to date with latest updates in the industry.

The trucking industry is always subject to changes and so it is important for truck dispatcher to be updated and informed of the changes that take place, because these changes can have a direct impact on the work they do. This is very important for truck dispatchers because both the drivers and customer may look to the truck dispatcher for reference when interpreting new changes in laws and regulation that affect the industry ranging from hours-of-service rules or routes trucks should avoid during winter months.

In conclusion, truck dispatching might appear difficult and complicated to handle, but if the above practices are followed in the day-to-day truck dispatching process, the job of dispatching loads will get a lot easier to manage. Staying organized with a clear plan will help tremendously. There will be days where a dispatcher may have to multitask and resolve multiple issues at once and there will be days where it may be difficult to secure a load. These are all challenges most truck dispatcher will face, having a clear and structured process in dealing with these scenarios will help truck dispatchers to not only resolve these issues but excel in formulating the right solution for every difficult situation. Adopting the above practices will allow a Truck Dispatcher to be more efficient and effective in dispatching and resolving issues.
